We are looking for a proactive and organized Part-Time Office Manager to support the smooth day-to-day operation of our office in Wroclaw, Poland.
This is a flexible part-time role, approximately 40–60 hours per month, depending on business needs. The role requires regular presence in the office, typically around 2–3 hours per day, with flexibility depending on business needs.
The workload is variable: some responsibilities are regular, while others arise only when needed or occur a few times per month or quarter.
Responsibilities
- Manage office supplies and purchases, including budget tracking and expense control.
- Coordinate incoming and outgoing parcels and shipments, including arranging delivery times, communicating with couriers and reception, preparing and signing required documentation, and handling customs clearance and related taxes when necessary. Around 3–4 parcels per month are expected, with occasional ad-hoc coordination required to ensure smooth delivery and collection.
- Coordinate office maintenance, repairs, furniture rearrangements, and other office changes when needed, ensuring all changes are agreed with the building management.
- Support employee onboarding and offboarding, including: preparing and providing welcome packs and office access cards; preparing equipment according to IT/SysAdmin instructions; explaining office rules and procedures.
- Typically, several new joiners per quarter.
- Organize and coordinate office events, typically 1–3 events per quarter.
- Purchase, prepare, and arrange delivery of gifts, mainly around major holidays, birthdays, and other special occasions throughout the year.
- Set up and hand over equipment to employees.
- Communicate with vendors and monitor invoices and payments when needed.
Requirements
- Previous experience in Office Management, Administration, or a similar role would be a plus.
- Strong organizational and time-management skills.
- Proactive approach and ability to independently handle day-to-day tasks.
- Responsible, detail-oriented, and comfortable coordinating multiple tasks.
- Good communication and problem-solving skills.
- English and Polish — B1 or higher.
- Willingness to work part-time with a flexible schedule (40–60 hours/month).
- Ability and willingness to work from the office regularly, approximately 2–3 hours per day.
